SAGE PLLC is a newly established construction, consulting, and engineering firm that will allow its employees to grow together with the business and provide them with training, experience, and opportunities for advancement and progression.

We are seeking a detail-oriented and highly motivated individual with a minimum work experience of 1 year to join our Administrative Support Team. The Office Assistant will be responsible for ensuring that the administrative tasks are completed in a timely fashion and will be involved in multiple projects and procedures at the office and may also need to perform personal assistant services as needed.

Work would follow a hybrid schedule, requiring two days of in-person attendance and three days of remote work.

Salary: $15 to $20 per hour

Work location: Montville Twp, New Jersey

Duties and responsibilities are (but are not limited to):
● Need to prepare and send proposals to clients via QuickBooks online estimates.
● Support billing and accounting department with accounts payable, billing clients, and following up with clients on open invoices.
● Should be ready to comply with the supervisor’s assignments to work on several projects overseeing clerical tasks.
● Manage phone calls and correspondence (e-mail, letters, packages etc.) as required.
● Provide notice to proceed to engineering department with highlights of relevant scope of work
● Schedule meetings with clients and potential clients, Negotiate on behalf of SAGE.
● Cold call potential clients & follow up with email campaigns
● Assist with Accounts Receivable including posting check payments, prepare monthly receivable statements as needed and collect outstanding balances from customers.
● Assist in the maintenance of inventory records.
● Reconcile Bank and credit card Statements.
● Receive/Process/Distribute company mail.
● Assist in marketing the company services.
● Keeping an inventory of office supplies and ordering new materials as needed.
● Ensuring the office runs smoothly.

Requirements :

● Need to have a driving license and be able to drive to complete errands.
● Excellent project tracking and organizing capabilities for bookkeeping.
● Ability to multitask and excel in a fast-paced work environment.
● Exemplary is written and verbal communication skills.
● Versed in Microsoft Office, including Word, Excel, and Outlook
● Quickbooks (basic knowledge and use of QuickBooks are mandatory) and booking-keeping experience is required.

College students in their last year majoring in accounting, or related fields are also welcome to apply. We are willing to train the right candidate.
